To maintain secure and seamless business connectivity while traveling, follow these best practices for using the internet, business email, and digital platforms.

Secure Your Devices and Data
Before traveling, take proactive steps to protect your devices and sensitive business information:

  • Update Software – Ensure your operating system, antivirus, and business applications are up to date, including the latest updates for your mobile phone.
  • Know Your Passwords – Memorize your passwords for email and key applications, as location changes (especially international travel) often trigger password verification prompts. Avoid writing passwords down.
  • Enable Multi-Factor Authentication (MFA) – Confirm that MFA is enabled for any accounts you plan to access while traveling.

Use a Secure Internet Connection
Public Wi-Fi networks are convenient, and their security and performance have improved over the past decade. However, many still lack proper security measures, making them prime targets for hackers. Use the following strategies to stay safe on public Wi-Fi, but always remain cautious:

  • Use Wi-Fi Networks From Reputable Businesses – Avoid unfamiliar public networks. Stick to Wi-Fi provided by trusted businesses, such as hotels or airlines. When available, upgrade to paid Wi-Fi for better security, less traffic, and a more stable connection.
  • Use a VPN (Virtual Private Network) – A VPN encrypts your internet connection, enhancing security even on public Wi-Fi.
  • Consider Mobile Hotspots – Many mobile providers offer personal, private Wi-Fi via mobile hotspots. These can be dedicated hotspot devices or a service enabled on most smartphones.

Manage Business Emails Wisely
Email is a vital business tool but also a prime target for cyber threats. While traveling:

  • Be Cautious With Links and Attachments – Phishing attacks frequently target travelers. Verify unexpected emails before clicking on links or opening attachments.
  • Use an Email Alias for Public Correspondence – If networking or attending events, avoid sharing your primary business email, especially with unknown vendors.
  • Enable Auto-Reply With Care – If setting an out-of-office reply, limit details about your absence to minimize security risks.

  • Notify IT Before Traveling – Inform your IT department in advance, especially for international travel, to ensure you have the necessary access. Many services have security measures that block logins from certain locations.
  • Be Cautious With Shared Computers – When using hotel business centers, shared computers, or a friend’s device:
    • Deny browser auto-save for credentials or form information.
    • Fully log out of all accounts and close the browser.
    • Delete any temporarily saved files from Downloads, Documents, or the Desktop.
  • Report Issues to IT Immediately – If you lose a device, receive a suspicious email, or encounter any security concerns, contact your IT department promptly. They may be able to remotely lock or wipe devices and provide remote support.
